What does VoIP cost per user?
Most UK business VoIP providers charge a monthly fee per user (or per extension). Independent comparisons put typical prices at £7 to £30 per user per month. Entry-level plans cover basic calling; higher tiers add call recording, queues, integrations and reporting.
| Cost | Typical UK range | AVAIO |
|---|---|---|
| Monthly fee per user | £7–£30 | £14 + VAT |
| Set-up fee | £0–several hundred pounds | £0 |
| Contract | Monthly to 36 months | No contract |
| Mobile & desktop apps | Often included | Included |
What’s included in the monthly price?
A good business VoIP plan should include your phone numbers, extensions, voicemail, call forwarding, an auto attendant, call groups and queues, and apps for mobile and desktop. Always check whether calls to UK landlines and mobiles are included or charged per minute.
Do I need to buy desk phones?
No. Many teams use the mobile app and a headset with the desktop app. If you prefer desk phones, IP handsets can be bought outright or added to your plan, and some existing handsets can be reused.
What other costs should I look out for?
- Set-up and installation fees.
- Number porting fees for moving your existing numbers.
- Long minimum terms that make it expensive to leave.
- Per-minute charges for international or premium numbers.
- Broadband upgrades if your current connection isn’t up to the job.
Is VoIP cheaper than a traditional phone line?
For most businesses, yes. You no longer pay line rental for each copper line or maintain an on-site phone system. Our telecoms clients save 36% on average after switching. And with traditional lines closing on 31 January 2027, moving to VoIP is something every business will need to do soon. Read our PSTN switch-off guide →
How to get the best value
- Count the users who really need an extension - others can share call groups.
- Use the apps instead of buying desk phones for everyone.
- Bundle phones, mobiles and broadband with one provider for one bill.
- Avoid long contracts so you can move if prices rise.
